Renewal Tracker Settings – Configure Your Renewal Rules

Table of Contents

The Renewal Tracker Settings screen lets you define the rules, targets, and behaviors that govern how your Renewal Tracker works. From setting target renewal rates to configuring file upload requirements, this is where you tailor the tracker to match your organization’s renewal process.

Getting There

From the Renewal Tracker screen, click the Settings or gear icon. You can also navigate to it through your account settings if available.

Key Features

Target Renewal Rate

Set your organization’s target renewal rate. This target is used across the Renewal Tracker and Analytics to benchmark your actual performance. A common target is 90-95%, but you can set it to whatever makes sense for your business.

Price Change Target

Define your target for average price change on renewals. If your goal is to achieve 3-5% uplift on renewals, set that target here and the analytics will show you how you’re tracking against it.

Days Before Expiry Target

Set how many days before a renewal’s expiration date you want the renewal process to be completed. This drives the urgency indicators in the tracker — renewals that haven’t been addressed within this window will be flagged.

File Upload Requirements

Configure whether file uploads (like signed contracts or confirmation emails) are required before a renewal can be marked as complete. You can also specify which file types are accepted.

Customer Matching Rules

When new renewal data is uploaded, Subrise needs to match transactions to existing companies. The matching settings let you configure how this matching works — by domain, company name, or other identifiers — to ensure accuracy.

Step-by-Step: Configuring Your Settings

  1. Set your renewal rate target — Enter the percentage your team should aim for.
  2. Configure price change target — Define the average price uplift you expect on renewals.
  3. Set the days-before-expiry target — Choose how many days in advance renewals should be processed.
  4. Choose file requirements — Decide whether file uploads are mandatory and which types are accepted.
  5. Review matching rules — Ensure customer matching is configured correctly for your data format.
  6. Save your changes — Click save to apply the new settings across your Renewal Tracker.

💡 Tips & Best Practices

  • Be realistic with targets — Set targets that are ambitious but achievable. Unrealistic targets can demotivate your team.
  • Require file uploads for audit purposes — Having confirmation documents attached to renewals creates a clean audit trail and reduces disputes.
  • Revisit settings quarterly — As your business evolves, your renewal targets and processes should too. Review these settings at least once per quarter.

Frequently Asked Questions

Who can change these settings?

Settings are typically restricted to admin or manager-level users. Check with your organization’s admin if you need to make changes.

Do setting changes apply retroactively?

New targets and rules apply going forward. Historical data retains the targets that were in place when it was processed.

What happens if I make file uploads required?

Reps will need to upload at least one approved file type before they can mark a renewal as complete. This ensures proper documentation for every renewal.
