Service Proposals: Create and Manage Client Proposals

Table of Contents

The Proposals screen is where you create, manage, and track proposals for advisory engagements. Pull services from your catalog, apply pricing tiers, add discounts, and generate professional proposal documents — all from one place. A well-crafted proposal is the first step toward a successful project, and this screen makes the process efficient.

Getting There

Navigate to Operations → Advisory → Proposals in the left sidebar.

Key Features

Proposal List

See all your proposals in a sortable table with key information: proposal name, client, total value, status (draft, sent, accepted, declined), and date. Filter by status to focus on active proposals.

Proposal Builder

Create proposals by selecting services from your catalog. The builder automatically calculates pricing based on the services selected, the client’s tier, and any applicable discounts. You can customize descriptions and add notes for each proposal.

Pricing & Tier Application

When you specify the client’s details (like employee count), the system automatically applies the appropriate price tier multiplier from your service catalog. Add percentage discounts on top for special pricing.

PDF Generation

Generate professional proposal PDFs that you can send to clients. The documents include a cover page, service descriptions, pricing breakdown, terms, and any custom content you’ve added.

Status Tracking

Track proposals through their lifecycle: Draft → Sent → Accepted or Declined. When a proposal is accepted, you can convert it directly into a project for delivery.

Client Linking

Link proposals to existing companies or create them for new prospects. Linked proposals provide context when you’re working with that client elsewhere in Subrise.

Step-by-Step: Creating a Proposal

  1. Click “Create Proposal” — Start a new proposal and fill in client details.
  2. Select services — Choose services from your catalog that the client needs.
  3. Set quantities — Adjust quantities for services that can be delivered multiple times.
  4. Apply tier pricing — Select the client’s tier based on their characteristics.
  5. Add discounts — If applicable, apply a percentage discount.
  6. Review the total — Verify the pricing breakdown makes sense.
  7. Generate PDF — Create the formal proposal document for client delivery.
  8. Send and track — Mark the proposal as sent and track its status through acceptance.

💡 Tips & Best Practices

  • Use consistent service descriptions — Clear, professional descriptions in your service catalog make proposal creation faster and more polished.
  • Follow up promptly — Track sent proposals and follow up within a week if you haven’t heard back.
  • Convert accepted proposals quickly — When a proposal is accepted, convert it to a project immediately to maintain momentum.

Frequently Asked Questions

Can I duplicate a service proposal?

Yes — you can clone an existing proposal and modify it for a different client or scenario, saving time on similar engagements.

What happens when I convert a proposal to a project?

Converting a proposal creates a new project pre-populated with the services, tasks, hours, and pricing from the proposal. You can then adjust timelines and assign team members.

Can I send the proposal directly from Subrise?

You can generate the PDF and send it via your preferred email method. The proposal’s email tracking features help you manage the outreach process.
