The Tools screen in the Marketing module is your hub for specialized marketing workflows that don’t belong inside the main GTM planning experience. It brings together focused utilities that support execution and operational planning — currently including the Email Lifecycle Planner and the PR Database. Think of it as the place where your team manages repeatable marketing systems and supporting workflows.
Getting There
Navigate to Operations → Marketing → Tools in the left sidebar.
Key Features
Email Lifecycle Planner
Plan and document your 12-month subscription email strategy in a structured workspace. The Email Lifecycle Planner is built for strategic lifecycle design rather than email sending, helping your team map customer communication across onboarding, engagement, churn-risk, and renewal stages.
The planner supports lifecycle versions, so your team can create, compare, and manage different strategic iterations over time.
PR Database
Manage your press CRM in a focused PR contact database. The PR Database lets your team maintain media contacts, add journalists manually, import and export contacts by CSV, and track an ongoing history of notes for each contact.
Each contact can accumulate a running CRM-style history of notes, making it easier to preserve context over time instead of relying on a single master note.
CSV Import and Export
The PR Database includes CSV support for bringing in existing contact lists and exporting your current media database for reporting, cleanup, or sharing. A CSV template is also available to make imports easier and more consistent.
Searchable Contact Management
PR contacts can be searched across publication, name, title, email, and notes, helping your team quickly locate the right journalist or previous interaction history.
Step-by-Step: Using the PR Database
- Open PR Database — From the Tools screen, select PR Database.
- Add contacts manually or import by CSV — Build your media list in the format that works best for your team.
- Search and review contacts — Find journalists by publication, role, email, or note history.
- Add new notes over time — Log each interaction as a new note to create a chronological CRM history.
- Export when needed — Download your contact list as CSV for external use or backup.
Step-by-Step: Planning Email Lifecycle Strategy
- Open Email Lifecycle Planner — From the Tools screen, select Email Lifecycle Planner.
- Create or select a version — Manage lifecycle strategy through versioned planning.
- Map lifecycle stages — Define communications across onboarding, engagement, churn-risk, and renewal timing.
- Document each sequence — Capture subject lines, purpose, timing, and sending persona.
- Set go-live timing — Mark when a version is intended to become active.
Tips & Best Practices
- Treat PR notes as ongoing history — Add a new note for each interaction instead of overwriting old context.
- Import clean CSVs — Use the provided template to reduce validation issues and keep contact data consistent.
- Version lifecycle strategy intentionally — Create a new lifecycle version when strategy changes materially, rather than editing past plans in place.
- Use Tools for operational systems — Keep specialized workflows like PR management and lifecycle planning here, while broader campaign planning stays in GTM Planner.
